2.2. Driver data

This block is checked most often. An error in one digit of the license number will result in a fine of 5,000 rubles. What to indicate:

⚠️ Attention: If the car has tachograph with motion blocking (CIS), in the route sheet there is a note about its performance. If the tachograph is faulty, travel is prohibited!

2.4. Route and task

This is the most important section. Traffic police inspectors pay attention to:

  • 📦 Nature of the cargo (for example, “food products, 5 tons, pallets””).
  • 📝 Customer's signature (if the goods are delivered, an acceptance mark is required).

If the route includes several points, they must be listed in order, indicating the mileage between them. Example:

2.5. Signatures and seal

The route sheet must be signed:

  • 👔 Dispatcher (confirms the issue of the document).
  • 👨‍🔧 Mechanic (confirms the serviceability of the vehicle).
  • 👨‍✈️ Driver (confirms receipt).

From 2026 the organization's seal is not required if the route sheet is issued in electronic form with qualified digital signature (KEP). For paper sheets, printing remains recommended, but not required.

3. Electronic route sheet: how to issue and confirm

From January 1, 2026, all companies with a fleet of > 50 vehicles are required to switch to electronic route sheets (EML). For others it is a right, but not an obligation. Advantages of EML:

  2. Connect qualified electronic signature (KEP) for a director or authorized person.
  3. Integrate the system with tachograph and GLONASS (if any).
  4. Fill out the data in your personal account and send it for signature.

⚠️ Attention: An electronic route sheet without CEP is equivalent to the absence of a document! Fine for the company - 30,000 rubles (Part 2 of Article 12.31.1 of the Administrative Code).

What happens if the traffic police inspector does not see the EML in the system?

  • 👔 If an individual entrepreneur uses a car for personal trips (for example, delivering goods for your store) - route sheet not needed, but recommended for writing off fuel and lubricants.

Features of filling out for individual entrepreneurs:

  • 📝 The header indicates Individual Entrepreneur [Last name I.O.], OGRNIP and INN.
  • 📌 Instead of a seal, an individual entrepreneur’s signature is enough (if there is no stamp).
  • 📅 The route sheet number can be assigned in any order (the main thing is without repetitions throughout the year).

⚠️ Attention: If an individual entrepreneur rents a car, the route sheet must contain information landlord (full name/name) and lease agreement (number and date). Without this, the document is invalid!

A simplified individual entrepreneur (USN) can write off fuel and lubricants only if he has a route sheet indicating the mileage. Without it, the tax office will refuse to account for expenses (Letter of the Federal Tax Service No. SD-4-3/1252@).

6. Validity period of the route sheet

  2. Check out additional sheet indicating the reason (attach to the main document).
  3. Obtain the dispatcher's signature on the extension of the deadline.

⚠️ Attention: If the route sheet is overdue, but the driver continues to move, this is equivalent to absence of document - a fine of 5,000 rubles (Part 1 of Article 12.3 of the Administrative Code).

7. Fines for absence or incorrect registration

The punishment depends on type of violation and violator status (driver, individual entrepreneur or legal entity). Current fines for 2026:
